Job Summary:

 

The Design Operations Manager is responsible for partnering with the Global Design Director to create conditions where Design and Brand Design Managers can be most successful. The right person has a strong background in design operations, is a self-starter, organized, and has a track record of enabling design teams to work efficiently and effectively. With a positive spirit and problem solving approach, he/she has the ability to work with a diverse group of people and collaborate for results.

The role is critical in developing or refining the processes that will enable the design team to focus on design critical activities required to scale and grow their categories, and the company.

 

Primary responsibilities:

 

Project Management and Tracking

 

  • Partner with Brand Design Managers to proactively lead the design development pipeline including workflow forecasting, planning and prioritization, and resource planning and allocation.
  • Create and maintain a project tracker & dashboard; ensure accurate and timely project tracking and communication to advise partner updates.
  • Establish a systematic framework for owning the creative request process.
  • Create and lead project timelines.
  • Traffic requests through on-site agency.
  • Coordinate alignment and hand over meetings with Brand Design Manager and Design Integration Managers.
  • Own weekly Design team status and priorities meeting.

 

Budget and Contract Management

  • Facilitate vendor contract process (MSA’s) to ensure accurate and timely execution of required contracts, and monitor expiration dates.
  • Initiate vendor set up for POs and invoicing and facilitate the resolution of related issues.
  • Create budget tracker to lead and supervise design spend for assigned categories including: initiating and supervising GT’s, ensure all estimates and budgets are properly maintained, provide status reports on spending and invoice processing to ensure timely payment to agencies and vendors.
  • Lead stock image accounts and relationships and ensure proper images rights are secured.

 

Vendor/Partner Relationships

  • Build and manage relationships with external vendors and on-site agency designers.
  • Promote and demonstrate effective teamwork, communication and workflow between design and CPs internal and external partners.
  • Provide Design Asset Management (DAM) access to new vendors and ensure that agencies and commissioned artists provide assets for DAM upload upon completing a project.
  • Provide coordination and support for large/master calendar meetings.
  • Create and maintain Agency roster, capabilities and score card.
  • Initiate new hire set up and provide on-boarding to ensure all team members understand our design operations and have everything they need to hit the ground running.
  • Facilitate the design onboarding process for new Marketers.

 

Process

  • Identify and champion process development and improvement opportunities for the design operations function to drive efficiency and quality in our work product.
  • Develop relationships within the design organization to understand each team and stakeholders needs; serve as design operations lead on process alignment project.
  • Lead project to evaluate and update server organization including folder structure and file nomenclature, supervise for compliance.

Basic Qualifications:

  • Bachelor Degree required.
  • 7+ year’s professional experience in a creative industry.

 

Preferred Qualifications:

  • Previous experience in design operations, managing processes and workflows.
  • Previous experience working for a CPG (consumer goods) company.
